What a freelance invoice actually needs

A freelance invoice needs six things to be taken seriously by an accounts-payable team: your name and address, the client’s name and address, a unique invoice number, the issue date, a clear description of what you did with the amounts, and how to pay you. Everything else is optional.

The two that freelancers most often get wrong are the invoice number and the payment terms. Numbers need to be unique and, ideally, sequential — "Invoice" with no number at all is the single most common reason an invoice gets bounced back. Payment terms need to be explicit: "Net 14" is enforceable in a way that "please pay soon" is not.

Invoicr fills in a sequential number for you and increments it, sets the due date from your chosen terms, and refuses to let you download an invoice that is missing a legally required field for the format you picked.

Should freelancers charge tax?

It depends entirely on where you and your client are, and whether you are registered. If you are below your country’s registration threshold you generally do not charge tax and should not show a tax line at all — a 0% tax row on an invoice from an unregistered sole trader raises questions.

If you are registered, pick the matching format at the top of the builder. India GST will ask for your GSTIN, HSN/SAC codes and place of supply, and will split CGST/SGST or apply IGST automatically. EU VAT will ask for both VAT numbers and handle the reverse charge. US will let you set state and local sales tax rates and mark service lines exempt.

Getting paid faster

Invoice on the day you finish, not at the end of the month. The clock on Net 14 starts when you send, so a week of delay is a week of float you gave away for free.

Put the amount due at the top. The Sable and Statement templates do this deliberately: an AP clerk processing forty invoices reads the number and the due date, and everything else is only consulted if something looks wrong.

Include your bank details on the invoice itself. Every round trip asking for an account number adds days.
